Ringless Voicemail (a.k.a voicemail drop) is the ability to leave someone a voicemail without a call actually going through to their phone. It’s a great way to connect with leads and investors in a personal way that saves you a ton of time.
You might use this feature to update past investors on new opportunities, nurture leads who have expressed interest but haven’t committed yet, let investors know the final date to submit their investment for a deal, and much more.
Before we get into this lesson, there’s a few things you need beforehand:
A phone number setup in your CRM (if you don’t have one yet, please complete this lesson first)
A prerecorded voicemail in an MP3 file format (You can use a recording program/app your phone, tablet, or computer to record your voicemail, or you can use a free online service like this one)
Consent from the person/people you are going to contact with the voicemail (If you are receiving contact information through the forms we’ve provided on your website, they already include a consent box. If you are receiving contact info from somewhere else, like your own custom web form, we recommend adding a simple consent box that will allow you to contact the person by phone)
Alright, let’s get into it!
From your dashboard menu, click on Automation > + Create Workflow > + Start from Scratch
You can use the top of the page to give your automation a name that will easily identify its purpose
Then you can add a trigger if you need one (please see below if you’re unsure whether to use a trigger or not). To add a trigger, simply click on + Add New Trigger, then select one from the list.
If you plan to manually send this vm out to contacts, then you don’t need a trigger, and we’ll share more information on sending the voicemail later in this tutorial.
A trigger will automatically send the voicemail out to certain contacts when they meet whatever criteria you set out. For example, when they fill out a form on your website, when a tag is added to their contact, when their contact information is updated, etc.
Next, click on the plus button underneath the trigger to add an action
Search for Voicemail and click on it
Click to upload your MP3 file, then click on Save Action
In the top right corner, make sure you click on the toggle to change the automation from Draft to Publish and hit Save
If you didn’t add a trigger, below are instructions on sending this voicemail to your contacts:
From your dashboard, click on Contacts. You can then select the contacts you would like to send the voicemail to using the little checkboxes besides their name(s)
Click on the little robot icon along the top (Add to Automation)
Select your Voicemail Automation/workflow from the dropdown menu (the Action field is not visible to the recipients, it only serves as an internal reference for you), then click Add to Automation
And that’s it! As soon as the contact(s) are added to the automation, your message will be sent to their voicemail
